The Host Day Board
For the day your band hosts a competition: who is on which post, every hour, and what to do when the day moves. It replaces the printed sheets and the group-chat scramble, and it works on the phone in your pocket at 6am.
Before the day
Enter it once, then the board tracks it
Posts, volunteers and visiting schools go in once. Everyone’s stated hours go in too, so “only mornings” is known from then on, and the board shows what is still missing so you are never guessing whether you’re ready.

- Times type the way you say them
- Type 245 or 2:45, press Tab, keep going. The whole itinerary fills in without a mouse.
- Everyone’s link, in one paste
- Every volunteer’s personal link, ready for the group chat, and a printable QR code for the check-in table.
- Bring your spreadsheet
- We can load an existing tracker spreadsheet directly. We’d rather try it against your real file together.
- Rehearse it
- Point the board at a pretend time and walk through 2pm on the day from a kitchen table in September.
On the day
Built for a phone, in a parking lot, one-handed

- Somebody didn’t show
- Tap the post and the board lists who can cover it, and what each choice costs you elsewhere. Leaving it short is one of the options, stated plainly.
- Somebody turned up who isn’t on the list
- One sheet takes their name, how long they can stay and where you want them. Added and placed in a single step.
- A school is running late
- The board shows what moves before anything is saved, so you can see the knock-on down the schedule and decide.
- Who has been standing too long
- A break list showing who is overdue and whose relief is coming. One tap records it.
- The shift change
- Post by post: who leaves, who arrives, who stays. It is the one gap the board can see coming, so it tells you in advance.
Every visiting school’s day
Bus in, warmup, perform, bus out. Tap the next step to record it at the time it happened, and see at a glance who is here, who is late, and who has gone.

It warns. It never blocks.
The board will tell you a post is short or somebody is overdue for a break, and then let you do it anyway. Nothing on a fifteen-hour day is improved by software saying no.
