The Pit Crew Board
For competition Saturdays. Your posts, your crew and every event of the season, in one board that you plan at a table and run standing up.
Wednesday night
Plan
Mark who has told you they can’t come, and their posts open up straight away, so the shortage is visible on Wednesday rather than at 6:50am. Auto-assign fills what’s left from who has worked each post before, and shows you its answer before anything is saved.
Short is the normal state, not an error. The board counts the open seats and leaves the trade-off to you.

Saturday, in the parking lot
Field
The board you hold at load-in. Tap a name when you see them: expected, here, late, or a no-show. A no-show leaves their post open on the board. Tap it and the board lists who could take it, the people with nothing to do first.
Large type, dark on light for direct sun, and three text sizes each person sets on their own phone. Every state has a word or a tick beside its colour.
Before the band is on
Crunch
The last hour, on one screen. Every post numbered in the order the crew walks the field, who is on it, and a short list of what is still at risk: an adult seat empty, a no-show leaving a gap, gear not set.
Tap a person and their card fills the screen. Turn the phone round and show them where they’re going.

For everyone else
Each volunteer’s own link
Every volunteer gets a link that opens to their post for the next event and their season so far. No account, nothing to install, and it reads the board without being able to change it.
And the smaller things
- Posts are yours to name
- A post has a name, where it stands on the field, how many people it needs and who staffs it: parents, students, or reserve. Nothing about another crew is built in.
- Student posts stay out of the count
- Posts the kids run never show up as short. Mark one must-fill and it asks for an adult that day, in red, with a word beside the colour.
- Notes that last
- A note on a post stays until someone clears it, so what September’s crew learned is there in October.
- Copy the lineup for Remind
- Paste-ready text in walking order, so Friday’s message matches the board.
- A deputy who can run it
- One or two people get real edit access with their own link. Not a shared password.
- Thin benches, flagged
- A post only one person has ever worked is a single point of failure. Once you have a couple of events behind you, the board says which ones.
See your own posts on the board.
Free for the 2027 pilot season. We’ll walk you through it on a screen share, then send you a link to try it on your own phone.
